Taipei City MICE Event Sponsorship Application Guidelines
1. objective
To encourage various levels of local governments, legal entities, or organizations to host MICE events (Meetings, Incentives, Conferences, Exhibitions) in Taipei City and promote the development of related industries, the Department of Information and Tourism, Taipei City Government (hereinafter referred to as “the Department”) has established these guidelines.

2. Eligible Applicants
  • Local government agencies (at all levels)
  • Legal entities or organizations
Note:
The applicant must be the main organizer of the event. If there are two or more main organizers, they should coordinate among themselves to submit the application. Foreign legal entities or organizations must appoint a domestic professional conference/exhibition organizer or travel agency to apply on their behalf.


3. Definitions of MICE Terms
  • International Conference:
    Held for at least 2 days, with 100 or more participants from 3 or more countries, including at least 80 foreign participants.
  • International Exhibition:
    Held for at least 3 days, with 250 or more booths, with foreign exhibitors making up ≥10% of the total, or with exhibitors from at least 6 countries.
  • International Incentive Travel:
    A foreign organization hosts at least 100 foreign employees in Taiwan, with a minimum stay of 2 nights in Taipei City.
  • Bidding Stage:
    The preparation and bidding period to secure hosting rights.
  • Promotion Stage:
    The period from recruiting foreign participants up until the event begins.
  • Event Stage:
    The actual event period.

4. Sponsorship Contents
Bidding Stage
  • Administrative Support: Mayor’s letter of support, promotional materials, site inspections
  • Financial Sponsorship: Up to NT$500,000
Promotion Stage
  • Mayor’s welcome letter, promotional materials
Event Stage
  • Financial and Ticket Sponsorship: Combined maximum of NT$2,000,000 (ticket sponsorship limited to international conferences)
Actual sponsorship content is subject to official announcements by the Department.


5. Application Period & Required Documents
Application Period
  • Nov. 1 – Nov. 30: For events held from January to December of the following year
  • Apr. 1 – Apr. 30: For events held from July to December of the current year
  • Special projects approved by the Department are not bound by these deadlines
Required Documents
  • Application form
  • Proposal (including background, history of past events, event content, budget estimate, expected benefits)
  • Other relevant documents (2 copies each)
Applications must be delivered or postmarked before the deadline. Postmark date or delivery date will serve as proof.

6. Review Process
  • Preliminary qualification review by the Department
  • Submitted to the "Taipei City International Meetings, Exhibitions, and Incentive Travel Marketing Advisory and Review Committee" for evaluation
  • Results will be announced and applicants will be notified in writing
Review Criteria
  • Priority is given to events that are high-profile, innovative, or part of international rotation
  • Tourism impact is the main evaluation criterion

7. Project Completion & Reimbursement
  • Within 1 month after the event, submit all required documents for project completion
  • Events completed after Dec. 1 must be finalized by Dec. 31
  • For financial sponsorship, a detailed income/expense report and receipts must be submitted

8. Revocation & Refund
The Department may revoke sponsorship and request refunds under the following circumstances:
  • Withdrawal of application
  • Failure to complete project according to regulations
  • Submission of false information or improper receipt of sponsorship
  • Failure to execute according to the approved plan
  • Any other violation of the guidelines

9. Funding Source
Funding required for these guidelines shall be drawn from the Department’s budget. If the annual budget is exhausted, applications may be suspended with public notice.

10. Application Forms
All application and completion report forms shall be prescribed separately by the Department.
